The California Prison Industry Authority (CALPIA) is seeking to hire one student assistant for the Management Information System. Under close supervision of the Chief Information Officer, the Student Assistant will provide support to various functional areas, including accounting, contracts, information technology (IT), and general office operations. This position offers hands-on experience in a professional setting and is ideal for a student interested in business administration, public administration, information technology, or related fields. Conditions of Employment This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause. The final work schedule will be determined by the supervisor. Additional Work Schedule Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer). Minimum Qualifications • Familiarity with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and general office technology. • Excellent written and verbal communication skills. • Strong attention to detail and organizational ability. • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.Professional demeanor and ability to maintain confidentiality. Preferred Qualifications Prior experience in administrative support, contracts, or budgeting (including internships or coursework). Duties and Responsibilities • In a learning capacity incumbent will support the Chief Information Officer (CIO) with daily operational tasks. • This involves scheduling, preparing meeting materials, drafting routine correspondence, conducting basic research, coordinating meetings or events, and handling confidential or sensitive information with professionalism and discretion. • In a learning capacity the incumbent will assist staff with accounting and contract-related tasks. • This includes reviewing and processing accounting documents and invoices, tracking contract deliverables and deadlines, maintaining organized financial records, entering data into financial systems, and supporting the preparation of various reports and documents related to accounting and contracts. • In a learning capacity the incumbent will provide general office administrative support. • Responsibilities in this area include filing, scanning, copying, distributing mail, maintaining office supply inventory, assisting with supply orders, greeting visitors, answering phones, and routing inquiries appropriately. In a learning capacity the incumbent will assist with IT Help Desk functions. The student will help respond to basic IT support requests, such as password resets or software issues, assist in setting up workstations and office equipment, and document IT issues while escalating complex problems to appropriate staff. • Physical Requirements Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.
