Please note: This is a temporary, part-time position (23 hours per week). Job Summary A Coordinator delivers high quality work to meet short term or operational objectives set by their team leader. They focus on providing an exceptional day-to-day office experience and supporting internal events and market operations. In-Office Expectations • This is an in-person role averaging 23 hours per week with the expectation that you are onsite weekly Tuesday, Wednesday, Thursday 8:30a-4:30p. • Occasional flexibility may be requested with the potential to arrive early, stay late, or adjust hours as required to support events, office operations, vendor coordination, catering, and other in-person logistics. • Demonstrates a high level of reliability and accountability in maintaining a consistently hospitable and visible presence throughout the office. • Acts as a key onsite point of contact, ensuring a seamless and welcoming experience for clients, candidates, colleagues, guests, and vendors. Key Responsibilities: Front Desk / Reception • Serve as primary office point of contact, providing a warm and hospitable experience for clients, candidates, colleagues, guests, and vendors. • Receive all incoming requests (email, Teams, phone, walk-ins) - resolve directly or route appropriately • Manage employee badge access and visitor registration including parking information • Receive and distribute mail and packages; coordinate outgoing when needed Office Space & Safety Management: • Maintain clean, organized workspace & office through regularly scheduled daily and weekly area checklists. Focus areas include kitchens, conference rooms, print stations, workshop supplies closet. • Conduct weekly floor-to-ceiling facility walkthroughs; submit work orders for janitorial and maintenance, work with Slalom Spaces to coordinate repairs outside of building team • Ensure office compliance with safety policies; escalate issues as needed • Point of contact for office vendors (ex. Cintas, Blue Tiger, Iron Mountain, etc.) – coordinating deliveries, maintenance tickets, ordering, etc. Office Operations, Meeting & Event Support: • Serve as one of the Market’s “Purchasing Super Users” – utilizing company credit card for office and event-related purchases, reconciling all expenses monthly and updating budget trackers. • Purchase, stock, and organize all supplies (kitchen, office, workshop kits, events) • Support internal office meetings and events in the office, including but not limited to scheduling, room preparation, food/beverage orders, supplies, set up, and teardown. • Support Team Ops Lead/CoS in planning and execution of external and larger, office-wide events, including but not limited to set up/teardown, venue sourcing, food & beverage, communications, swag, design and collateral, registration, A/V, etc. • Secondary point of contact for updates to local events and meetings calendars • Support with content creation (Teams, documents, decks, SharePoint) • Occasional additional Office, Events, & Market Ops support as needed What You’ll Bring • Bachelor’s degree or relevant experience required (2+ years of office management or similar). • Excellent organizational and time management skills. • Professional communicator with strong oral and written communication skills. • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, etc.) and Zoom. • Have reliable transportation to/from office location as well as other event locations as needed. • Ability to lift and move 25 pounds.
