This position ensures a seamless experience for players, coaches, and staff on the road and at home, both in and off-season, using strong organizational and communication skills, managing multiple tasks in a fast-paced and changing environment which requires interpersonal skills, discretion, and strong judgment in all tasks and assignments. Responsibilities: Team Travel Coordinator • Plan, coordinate, and execute all team travel arrangements, including flights, hotels, ground transportation, and other travel related needs. • Create and manage manifest in Delta Portal, along with compiling the seating chart for the Travel & Logistics staff. • Point of Contact with Delta charter program and responsible for handing all communication regarding team flight/charter time changes, along with scheduling departure dates/times for the season with the General Manager, Head Coach, and Team Travel Lead. • Coordinate contract for Delta charter Wi-Fi Program each season with Team Travel Lead. • Create and manage hotel rooming lists in correlation with the Basketball Operations staff (Coaching, Medical and Front Office), Executive Assistant to Team President (President, Ownership, and other Business Operations staff), Chief Business Development Strategy/Corporate Sales (partnership trips), and Fan Duel Sports (broadcast team and radio) to be shared with KJ Sports for each team trip for the pre-season/regular season/playoffs, NBA Combine, and all Summer Leagues. • Coordinate room assignments and manage any special accommodations for players, coaches, and staff with Team Travel Lead for the team hotel provider. • Reserve team buses and equipment truck for each trip, in addition to notifying bus and equipment truck drivers approximate spot times each day. • Create Team Travel Itineraries and Travel Book for the season. Distribute team travel itineraries monthly with SSC staff, agents, players, and other representatives upon request by players, coaches, and front office staff. • Submit and maintain team travel itineraries via NBA portal. • Prepare travel documents and manage passport/visa requirements for international travel with Team Security. • Order and sort per diem and petty cash for all team travel, along with maintaining per diem tracker to share with Finance each month. • Reconcile hotel invoices prior to sending to Finance Department for payment. • Arrange and manage rental cars for Pre-Season, Regular Season, and Playoffs for Security and Medical staff. • Coordinate team group flight for summer league(s) travel, along with assisting staff with air travel if traveling separately from the team. • Assist with booking medical/player/staff travel as requested both in and off-season. • Ensure compliance with team budget and policies regarding travel expenses and reconcile expenses related to team/staff travel via Concur. Equipment Operations Coordinator • Responsible for servicing and managing Visiting Team Practices and Shootarounds. • Maintain and record equipment inventory, along with overseeing the jersey inventory for the NBA and Bucks programs. • Manage, order, stock, and maintain inventory of all locker room (players, coaches, and staff) supplies for SSC and Fiserv Forum. • Handle loading and unloading of equipment truck for all trips and events in addition to driving equipment truck to/from FBO for road games and other team charter travel. • Serve as team laundry attendant handling all laundry to include but not limited to the following: practice facility laundry, arena post-game laundry, and visiting team laundry. Qualifications: • Bachelor’s degree in Sports Management, Business, Hospitality Management, or related field preferred. • Previous experience in team operations, travel coordination, or equipment management, preferably in professional or collegiate sports. • Strong organizational and time-management skills with exceptional attention to detail. • Excellent communication and interpersonal skills. • Ability to work under pressure and adapt to a fast-paced, constantly changing environment. • Proficiency in travel management software, inventory management tools, and Microsoft Office Suite. • Willingness to travel extensively and work irregular hours, including nights, weekends, and holidays. • Valid driver’s license and passport required. • Physical ability to lift and move heavy equipment (up to 60 lbs). Preferred Attributes: • Previous experience working with a professional or NCAA Division I basketball team. • Familiarity with NBA rules and regulations related to team travel and equipment. • Multilingual abilities are a plus, particularly for possible international travel coordination.
