The Inventory and System Administrator is responsible for ensuring accurate stock level reporting across the East Coast Retail sites (Harry Potter New York and Harry Potter Chicago) to optimize all sales opportunities. This position will communicate clearly and regularly with Store Managers to inform and update on stock levels that may impact sales, and investigate discrepancies in inventory to minimize shrinkage and promote accuracy. This position will work closely with Buying and Merchandising, Warehouse, and Visual Merchandising teams to ensure smooth flow of inventory to the sites and report back any issues or concerns. This position will maintain accuracy on back-office systems, assist with POS front end changes and additions, and be the main contact for reporting issues/requirements back to Go-Tech team. Responsibilities include maintaining visibility of on-hand stock quantities, managing display and storage quantities, collaborating with VM team on shop floor display changes, overseeing damaged stock processes, supporting reporting of damaged items to Compliance, ensuring correct product write-offs, supporting cycle count processes, directing spot checks on zero-sales items, managing annual store counts, investigating discrepancies and shrinkages, working with Marketing and Trade teams for internal inventory consumption, communicating with warehouse on non-inventory stock, overseeing stock levels and distribution of confectionary and product bundles, supporting inventory count and ordering of personalization supplies, supporting POS training and system issues, creating training manuals, collaborating on POS/BOH system requirements, reporting POS hardware/software issues, participating in UAT for new systems, ensuring product availability on POS, raising and overseeing purchase orders, supporting P-Card receipt reconciliation, monitoring stationery orders, and supporting Senior Manager with reporting and administrative tasks. The role requires inventory/warehouse experience, retail/sales experience is beneficial, data analytics experience, interpersonal skills, knowledge of POS and back-office systems, proficiency in Microsoft Office, experience with inventory management systems, basic financial procedure understanding, attention to detail, strong organizational skills, flexibility to work up to 40 hours a week including some weekends and evenings, and ability to travel. The position is based in New Jersey but may also work from NY Store.
