Job Summary: The Front Office Team Lead at Center for Plastic Surgery is a “working lead” role, responsible for performing front office duties while providing leadership, support, and guidance to the front office team. This position is ideal for someone who enjoys multitasking and takes pride in creating a seamless, welcoming experience for every guest. The Front Office Team Lead is a natural leader with strong communication skills and a keen attention to detail. They are confident in resolving issues as they arise, training team members, and ensuring that front office operations reflect the high standards of hospitality and care that define our practice. Duties and Responsibilities: • Provide leadership and support to the Front Office team, serving as the first point of contact when questions or issues arise. • Work side-by-side with front office staff to ensure daily operations run smoothly and efficiently. • Possess a comprehensive understanding of all front office responsibilities to effectively train, mentor, and support team members. • Greet guests warmly and maintain a welcoming, professional, and polished front desk presence. • Manage the check-in and check-out process, collect and verify patient information, including insurance details. • Coordinate and schedule appointments for plastic surgery consultations, post-operative visits, and aesthetic treatments. • Be proficient in the clinic’s EMR and related software systems to ensure optimal scheduling efficiency and a seamless guest experience. • Confirm upcoming appointments and communicate pre-appointment instructions to guests. • Respond to inquiries in person, over the phone, via email, and text with professionalism and compassion. • Provide accurate and detailed information about our services, procedures, and pricing. • Maintain a clean, organized, and professional front office environment. • Manage daily cash drawer functions, including payment processing and end-of-day balancing. • Understand and clearly communicate our financial policies, payment options, and insurance-related processes. • Collaborate with clinical staff and other departments to support coordinated, high-quality patient care. • Perform general administrative duties, such as data entry, filing, and maintaining accurate guest records. • Represent the clinic with professionalism, hospitality, and integrity in all interactions. • Be adaptable and willing to take on new responsibilities in response to the evolving needs of the clinic. Qualifications: • Previous experience in a medical spa, plastic surgery clinic, or patient-facing healthcare setting preferred. • Prior leadership or supervisory experience is preferred. • Knowledge of industry terminology and procedures is an advantage. • Proficiency with electronic medical record (EMR) systems and office software. • Strong knowledge of appointment scheduling, insurance verification, and payment collection processes. • Excellent verbal and written communication skills with a polished, professional demeanor. • Ability to lead by example, support team growth, and resolve conflicts constructively. • Exceptional organizational skills and attention to detail. • Comfortable multitasking in a fast-paced, high-touch environment. • Strong problem-solving skills with the ability to remain calm under pressure. • Commitment to providing a high level of hospitality and patient-centered care. • Skilled in using Microsoft Office Suite, Google Workspace, and other digital tools. • Ability to maintain confidentiality and handle sensitive patient information with discretion. • Flexible, proactive, and able to adapt to evolving priorities and clinic needs. • Strong work ethic, reliability, and a genuine passion for patient experience.
