Security Level: Software Administrator Job Summary: The Applications Administrator is responsible for supporting the implementation and daily operations of IT solutions critical to the success of the organization. This role serves as the primary point of contact for end users, including employees and guest users of IT applications, including internal staff, community-based partners, healthcare providers, and health systems. Role responsibilities include ensuring day-to-day system functionality, triaging and resolving user-reported issues, distinguishing workflow challenges from technical bugs, and escalating issues as needed, and overall promoting effective use of the system to support implementation and adoption. The Application Administrator will also maintain system documentation and user guides, and promotes effective, consistent use of the platform to support organizational objectives. This role also acts as a liaison between users and the IT Administration and Security Vendor to ensure timely resolution of issues, configuration needs, and system enhancements. The ideal candidate is organized, detail-oriented, and capable of translating user feedback into actionable insights. Duties/ Responsibilities: • Ensure compliance with all IT Security Policies and Procedures. • Support weekly, monthly, and quarterly auditing of user accesses • Serve as a privileged user and functional expert for applications in collaboration with the IT Administration and Security Vendor, ensuring smooth daily operation and optimized system usage across all user types. • Act as lead support for user issues—triaging tickets, analyzing issues, identifying whether problems are user-related or system-related, and resolving or escalating as needed. • Support existing teams in providing hands-on training, guidance, and coaching for end users, tailored to their roles and workflows. • Collaborate and support platform/IT timely onboarding and offboarding procedures for all employees and guest users, partners, and CBO staff. • Works with Chief Operating Officer and Compliance Officer to develop user audit procedures and reporting. • Investigate system problems and coordinates fixes or functional enhancements with software/IT vendors. • Assist network constituents with alternative system workflows if system functionality cannot be fixed or enhanced • Collaborate as appropriate to establish and manage resource library for systems, processes, and procedures • Other duties as assigned Education & Experience: • Associate’s degree in Computer Science, Information Systems, or a related field — or equivalent combination of education and relevant experience required • Minimum of 2-5 years of experience in an application administrator role, preferably in a healthcare or social services environment • Strong project management or related experience required • HubSpot CRM experience preferred • Experience within the New York State health care system (population health, behavioral health, Federally Qualified Health Centers, or similar) preferred Skills, Knowledge, and Abilities: • Excellent problem-solving, analytical, and communication skills • Ability to manage multiple priorities effectively with minimal supervision • Outstanding interpersonal communication and people skills, independently resourceful and thrives in a fully remote environment • Fundamental understanding and ability to support IT security and compliance practices, including regular audit support. • Proficient in Microsoft Azure and Office 365 with experience managing licenses for applications including Adobe, Zoom, HubSpot, etc. Salary Range: • Salary is commensurate to education and experience with range of $62-$70,000 per year. Additional information: • This position is fully remote with possible travel expected for on-site meetings or training across the Finger Lakes Region and New York State. • This position is required to perform all job functions physically located within the United States during EST/EDT business hours.
