POSITION: Development Systems Coordinator STATUS: Full Time/ Non-Exempt DEPARTMENT: Development REPORTS TO: Database and Prospect Research Manager POSITION CONCEPT: The Development Systems Coordinator plays a key support role in maintaining the accuracy and effective use of donor data to enhance communications, campaign tracking, and team operations. This position supports the Development team by ensuring data is clean, processes are well-documented, and reports are prepared to inform fundraising strategies. The coordinator helps implement tools and workflows that contribute to the team’s overall efficiency and success. ESSENTIAL FUNCTIONS: Data Management & Integrity • Maintain accurate and up-to-date donor records in Tessitura, including merging duplicates and updating contact information. • Document standard operating procedures (SOPs) for data entry and campaign execution. • Identify and implement data hygiene improvements to support segmentation and personalization. Reporting & Analysis • Pull segmented email/mailing lists and clean records in Tessitura. • Generate and distribute reports and dashboards to support fundraising strategy and performance tracking. • Support the analysis of donor behavior and campaign outcomes to provide insights that assist in strategic planning and decision-making. • Provide custom reports and maintain prospect tracking tools to support the Annual Giving and Major Gifts teams. • Translate complex data into clear, visual formats for internal stakeholders. Process Improvement & Communication Support • Assist in coordinating and implementing digital tools that support donor communication and data analysis, collaborating with cross-functional teams to ensure smooth integration. • Manage donor, member, and VIP email bounce backs and opt-outs, ensuring follow-up actions are taken to maintain clean and accurate contact records. • Prepare and send donor communications, including invoices, receipts, and acknowledgments. • Maintain internal project tracking systems (e.g., Airtable) and documentation. Event & Administrative Support • Track RSVPs, attendance, and engagement trends for major events; provide post-event summaries. • Coordinate briefing materials for Development leadership. • Staff VIP lounges at events as scheduled. • Provide general administrative support to the Development team. Financial Support • Assist with budget tracking and credit card reconciliation under the direction of Development leadership. • Collaborate with the Database and Prospect Research Manager and Finance team to ensure accurate financial reporting related to development activities. EDUCATION/EXPERIENCES: Required • High school diploma or equivalent; some college preferred. • 2+ years of experience in project coordination, database management, or nonprofit operations. • Strong organizational and analytical skills. • Excellent written and verbal communication skills. • Proficiency in Microsoft Excel, Word, Outlook; experience with Tessitura preferred. • Ability to manage timelines and collaborate across departments. • Initiative and ability to work independently in a team-oriented environment. Preferred • Experience with Airtable or other project management tools. • Familiarity with digital communication platforms and analytics. • Attention to detail and commitment to data accuracy. • Ability to translate data into actionable insights and visual reports. PHYSICAL DEMANDS: • Ability to sit or stand for extended periods. • Ability to walk frequently. • Ability to lift and carry up to 25 lbs. • Ability to operate a computer and other office equipment. • Ability to read screens and print documents. • Ability to speak and hear on phone calls and in-person communication OTHER: • Ability to work evening and weekends as needed. • Ability to maintain good attendance. • Valid driver’s license and safe driving record. • Successful completion of background check and drug screen.
