This individual will collaborate closely with the President to ensure an efficient functioning office, managing administrative tasks and supporting team management initiatives. On a regular basis this role will oversee daily operations of our office, work on projects with the President and support members with tasks in finance and operations with our customer orders. The position will also assist in the coordination of new hires for onboarding as well as off-boarding of colleagues and facilitate the tasks with our partners in benefits and payroll as needed. The ideal candidate will demonstrate strong diligence, a solid background in office management, effective communication skills and a collaborator with members of the team. The candidate will have proficiency in Excel, Word, PowerPoint, and ability to learn systems with our finance and order systems, NetSuite. It is essential this role foster and environment of teamwork, operational efficiency, and productive work environment. Responsibilities • Manage administrative functions, including filing, record keeping, and data entry. • Oversee daily office operations to ensure efficiency and effectiveness. • Coordinate human resources activities such as recruitment, onboarding, and employee relations. • Maintain office supplies inventory and manage vendor relationships as needed. • Organize and plan company events, meetings, and conferences. • Identify and recommend the implementation of office policies and procedures that enhance productivity. • Utilize our NetSuite system for assistance with expense approvals, invoices, and order processing. • Utilize Microsoft Excel, PowerPoint, and Word to create reports, tracking, and updates to leadership and the office personnel. • Work with our IT support to facilitate computers and hardware for employee use. • Ensure proper functioning of phone systems and other office technologies. Skills, Knowledge, and Experience • Proven experience in office management or a related administrative role. • Effective communication skills, both verbal and written. • Proficiency in MS Excel, PowerPoint, Word, and ability to work with Oracle systems NetSuite. • Familiarity with various phone systems. • Excellent organizational skills with the ability to manage multiple tasks simultaneously. • Experience in human resources functions is strongly preferred, but not mandatory. • Demonstrated ability to lead teams effectively and foster a positive work culture. • Attention to detail is a necessity in daily work. • Strong problem-solving skills and an initiative to seek how they can help next. • Ability to plan office events and meetings efficiently while managing budgets and timelines.
