JOB SUMMARY: Ensure compliance with all US Coast Guard documentation requirements, company policies, and protocols for shipboard employment. Support and maintain adequate manning levels while providing comprehensive logistical services, support, and information to joining crew members. DUTIES & RESPONSIBILITIES: • Manage the process of collecting and verifying that all documentation for joining crew (new hires, rehires, and vessel transfers) complies with US Coast Guard and Company requirements. • Collaborate with the medical department to ensure all potential crew members meet physical requirements for shipboard employment. • Maintain and update the joiners report and projected crew movement 4-6 weeks in advance. • Coordinate with global hiring partners, joining crew members, port agents, and both shipboard and shoreside team members to ensure all pre-employment documentation requirements are met. • Record and update all personal crew information in MAPS, including passports, visas, USCG medical certificates, and TWIC cards. • Coordinate and confirm all logistic requirements for joining crew and students, including air transportation, ground transportation, and hotel arrangements. • Manage travel requirements for crew members scheduled to join vessels and students attending STCW training. • Work with Management and port agents to handle special arrangements for joining crew members lacking required documents. • Collaborate with the scheduling and travel teams to secure cost-effective travel while maintaining compliance with established policies and US Coast Guard restrictions. • Investigate cases where crew members cannot join the ship as scheduled, ensuring payroll deduction forms are completed to recover any cancellation fees or penalties. Escalate irregular situations for resolution as needed. • Perform other job-related functions as assigned. QUALIFICATIONS DEGREE TYPE: High School Diploma EXPERIENCE: • 1 year business/administrative experience is required. • Cruise line experience is strongly preferred, specifically as it relates to staffing and dealing with large crew movement. • 6 months experience ensuring compliance with US visa requirements, travel documents and medical terminology is preferred. COMPETENCIES/SKILLS: • Basic knowledge of the Microsoft Office Suite with special emphasis on Outlook, Word and Excel is required. • Intermediate to advanced verbal and written level of English is required. • Good written and verbal communication skills required to effectively interact with joining crew, hiring partners, port agents, HR Ops Managers onboard and shore side team members within the organization. • Excellent organizational skills in order to meet multiple deadlines and high volume crew movement while working in a fast paced environment. • Ability to shift priorities based on scheduling/business demands. • Must have the ability to work autonomously with little supervision. • Knowledge of general global geography to facilitate travel logistics needs and mitigate travel costs. • Knowledge of or ability to gain familiarity with CBA's (Collective Bargaining Agreements) and contracts of employment. • Ability to handle and maintain confidential information.
