We’re hiring a Project-Contract Specialist to support our growing team with contract development, project documentation, and operational compliance. This role combines technical writing, coordination, and administrative oversight to keep key processes moving across architecture and engineering projects. You’ll work closely with the COO, Project Managers, and cross-functional leaders to draft and finalize proposals, agreements, and licensing documentation—all while ensuring accuracy, alignment, and timeliness. What You’ll Be Doing Contracts + Proposals • Draft, edit, and finalize project proposals, consultant agreements, and client contracts using firm-approved templates and best practices. • Ensure contract language complies with company standards while applying sound judgment for unique project needs. • Track contract workflows—gathering information, managing approval processes, and ensuring timely execution. • Maintain organized records of all executed contracts and insurance certificates. • Coordinate with Project Managers, Principals, and Executive Leadership to minimize risk and streamline processes. Licensing + Professional Credentials • Monitor and maintain company-held architectural, engineering, and business licenses across multiple jurisdictions. • Track continuing education credits and credential status for key staff; support audit readiness and compliance communication. • Keep internal licensing databases current and aligned with firm governance policies. Specifications Coordination • Collaborate with internal teams and external consultants to prepare and compile technical specification documents and project manuals. • Track submittal deadlines, update internal software, and support consistency across disciplines. • Assist with proofing, editing, and compliance reviews; ensure professional seals are gathered and incorporated as needed. Administrative + Operational Support • Prepare and review business documents, internal memos, announcements, and presentations. • Assist with scheduling travel, registering for conferences and trainings, and tracking professional memberships. • Participate in onboarding new hires and sharing operational guidelines with clarity and professionalism. • Provide backup support to the receptionist team and serve as a resource for the broader admin team when needed. What You Bring • 3–5 years of experience in a fast-paced administrative or operations support role. • 1–2 years of experience writing or editing formal business communications or agreements. • Strong working knowledge of Microsoft Word, Excel, Outlook, SharePoint, and Teams. • High attention to detail, ability to manage multiple priorities, and a proactive, solution-oriented mindset. • High school diploma or equivalent required.
