Job Purpose This position is responsible for the overall operation of the Construction Management Center and managing the life cycle of the construction work order process. This position manages a team that will support the Planning, Engineering and Construction teams with assigned projects and/or any of the following tasks as assigned: correspondence, various administration tasks, tracking project milestones and monitoring deadlines; developing regular and timely reports highlighting variances as they arise and managing office locations (supplies, meeting support). This position is a key input into the contractor billing process and serves as the primary point of contact for Accounting, Sourcing, and Accounts Payable for onboarding new contractors into the purchasing requisition systems and process. Essential Functions • Collaborate with OSP Engineering and Construction teams to manage the contractor invoicing process and to maintain vendor relationships • Provide leadership for operational support teams to complete activities such as address, project and permit management for strategic builds, maintenance operations, and customer service requests • Manage updates to necessary workflow management system(s) to ensure that work order status is accurately reflected • Manage the permitting process with municipalities • Prepare accurate and timely financial spend trends for contractors and develop other ad hoc reports as requested • Facilitate monthly project status meetings with project teams and prepare reporting of construction WIP • Prepare monthly status reports for submission to Accounting regarding build progress and work order completions • Serve as SME for contractor billing application • Collaborate with internal teams to capture costs for damage billing claims to facilitate the recovery of expenses • Assist vendors with the invoicing process to ensure invoices are accurately coded and processed in a timely manner • Manage a support team responsible for preparing and submitting purchase orders, processing of contractor invoices, performing various office management functions such as supply ordering, package shipment, municipal permit payments, etc. • Ensure accuracy, timeliness, and consistency of the accounting for project scheduling, project status reporting and budgetary governance • Maintain records related to costs, permits, and work orders while ensuring departmental conformity to corporate retention guidelines • Maintain communication with our customers and resolve any complaints or issues in a timely manner to ensure 100% customer satisfaction • Process internal labor reporting and vendor invoicing adjustments as needed • Support the creation and up-keep of the Construction on-call calendar, updating to maintain accuracy and communicating to the NOC Management team • Serve as the departmental coordinator for the corporate move team • Serve as the departmental coordinator for submitting application access requests to IT Education Four years of College resulting in a Bachelor's Degree or equivalent Relevant Work Experience 5 to 7 years in related field Special Knowledge, Skills And Abilities • Demonstrated experience in team and project management • Proven experience with financial and billing application software is required • Demonstrated knowledge of the OSP engineering and construction process is advantageous • Ability to handle high volume work activities and to switch tasks frequently • Ability to identify deficiencies or improvements needed in the work process and implement changes • Prior experience managing vendor relationships • Knowledge of operations and construction management • Excellent organizational skills and attention to detail. • Excellent written and verbal communication skills • Proficient in Microsoft Office suite • Financial acumen on operational construction financials • Demonstrated commitment to customer service • Demonstrated interpersonal skills and the ability to work well with others Supervisory Responsibility This position has one or more employee direct reports Salary range: $90,000 - $135,000.
